Last updated: 28-10-2026

01Who we are

MK Football Festival 2028 is a free, one-day grassroots youth football festival in Milton Keynes, organised by Milton Keynes Foodball Festival (“we”, “us”). We are responsible for the personal information described in this policy.

For questions about this policy or your information, email hello@mkff.co.uk.

02What this policy covers

This policy explains how we collect and use personal information when you visit this website, register a team, attend the festival or contact us. It applies to team managers, coaches, parents, carers, players, volunteers and spectators.

03Information we collect

Team registration

When a team manager registers a team, we receive:

  • the team manager’s name, email address and phone number
  • the team name, club name, age group and format (5v5, 7v7 or 9v9)

We do not ask for player names or details at registration.

On the festival day

  • details of accidents, injuries and any first aid given
  • safeguarding concerns reported to the festival welfare officer
  • photographs and video taken by official festival photographers
  • fixtures and match results

When you contact us

Your name, contact details and anything you include in your message.

This website

This website does not use advertising cookies.

04How we use your information

  • to process team registrations and confirm places
  • to send fixtures, schedules, changes and festival-day information
  • to run the festival safely, including first aid and emergency response
  • to respond to and record safeguarding concerns
  • to publish fixtures and results
  • to answer questions you send us

We do not sell personal information, and we do not use it for marketing without your consent.

05Our lawful bases

Under UK data protection law, we rely on:

  • Legitimate interests: organising and running the festival, and communicating with registered teams.
  • Legal obligation: keeping accident records and meeting our safeguarding duties.
  • Vital interests: sharing information in a medical emergency.
  • Consent: publishing photographs where consent is needed, and any optional updates you sign up to. You can withdraw consent at any time.

06Arq365

Team registration, manager accounts, fixtures, results and digital tickets are provided through Arq365. When a team is registered, a free Arq365 account is created for the team manager. Arq365 handles account data under its own privacy information: Arq365 Privacy Policy.

We receive the registration details listed above from Arq365 so that we can run the festival.

07Who we share information with

  • Arq365, to provide registration, fixtures, results and tickets
  • match officials and festival volunteers, where needed to run fixtures
  • The FA, Berks & Bucks FA, the police or children’s social care, if a safeguarding concern requires it
  • the emergency services, in a medical emergency

We do not share personal information with sponsors.

08Photography and filming

Official photographers may take photos and video on the day for festival reports, this website and social media. We follow The FA’s guidance on photographing children. If a player must not be photographed, the team manager should tell us before the festival.

To ask us to remove an image, email hello@mkff.co.uk.

09How long we keep information

  • registration and contact details: up to 12 months after the festival
  • accident and first aid records: as long as the law requires, which for children can be until they reach 21
  • safeguarding records: in line with The FA’s safeguarding guidance
  • published photographs: until you ask us to remove them

10Keeping information secure

Only the people who need personal information to run the festival can access it, and we store it using secure services. Paper records from the festival day are kept securely and destroyed when they are no longer needed.

11Your rights

You have the right to:

  • ask for a copy of your personal information
  • ask us to correct information that is wrong
  • ask us to delete your information
  • object to or restrict how we use it
  • withdraw consent where we rely on it

To use any of these rights, email hello@mkff.co.uk. We will respond within one month.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

12Children

We do not collect information directly from children. Where player information is needed, for example in an accident record, it is provided by the team manager or a parent or carer.

13Changes to this policy

We will update this policy if the way we use information changes. The date at the top of this page shows when it was last updated.
